Inventory Adjustments #

Inventory adjustments are necessary when your physical inventory stock counts do not match the calculated count within Bizuno. An inventory adjustment will be necessary to synchronize Bizuno with physical inventory. The two possible adjustments are increase in inventory (less physical inventory on hand than expected) and reduce inventory (more physical inventory on hand than expected). 

The Inventory Adjustment Detail page is where the “meat” of the inventory adjustment takes place.  If the Manager is used to seek out information regarding previous Inventory Adjustments the detail page is actually where the action takes place.  The detail page can also be used to cover details in the inventory adjustment process.  You can enter the detail page by either double clicking on an adjustment or clicking on the green pencil icon.  

Tip: For the sake of instruction the inventory adjustment detail page is titled Inventory Adjustment even though theoretically it is a detail page similar to the other ones featured in Bizuno.

Mistakes happen. At times when doing business we lose track of inventory whether it be from clerical errors or shrinkage, inventory losses happen. At times what our records show is not necessarily what is on the shelf. A helpful component of Bizuno’s inventory system is the ability to adjust inventory for such cases.

The Inventory Adjustment feature is a tool that allows us to adjust our inventory in small or large quantities. In this chapter we will cover how to view previous adjustments, edit, delete and create new inventory adjustments.

Page Navigation

Similar to other sections of Bizuno the inventory adjustment section is comprised of two parts: Inventory Adjustment Manager and Inventory Adjustment. To open each section click on the title header and the accordions will open accordingly.

The Inventory Adjustment Manager can be accessed through:  
Inventory => Inventory Adjustment. 

To move to the first page of adjustments click the arrow with a line to the left or click page by page using the left pointing arrow. To move to the last page of adjustments click the arrow with a line to the right or click page by page using the right pointing arrow. To change the number of results to be displayed choose a number from 10 – 50 in the bottom left hand corner of the Manager. You can also enter the page you wish to navigate to by entering the number in the field provided. Inventory Adjustment Page Headers 

Below the icons, Period and Search feature are page headers titled Action, Post Date, Reference and Description. By default the assemblies are listed in order by Post Date but you can organize how the adjustments are listed by clicking any of the page headers. To change the order click on Action, Post Date, Reference and Description to sort by this criteria.

Adjustment Manager

The first screen you will see is the Inventory Adjustment Manager. A list of previous adjustment will be appear in order by post date.

Inventory Adjustment Icons

The Adjustment Manager icons operate similar to the other managers throughout Bizuno:

New – Clicking this icon will open the Inventory Adjustment accordion allowing you to create a new inventory adjustment. 

Refresh – The refresh button refreshes the current Inventory Adjustment Manager screen.

Period – Selecting a period from the drop-down menu will display assemblies for the selected period.

Search – Type in any search criteria and Bizuno will search for a desired adjustment.

New – To begin a new Inventory Adjustment click the New icon in the upper left hand corner of the screen.  The Inventory Adjustment Manager accordion will collapse and the Inventory Adjustment detail page will open allowing you to begin creating a new adjustment.

Refresh – To refresh the screen click the Refresh icon in the upper right left hand corner of the page. This is helpful when you make a mistake or wish to start from the beginning.

Period – Pick a time frame from the period drop-down to view all adjustments for that time frame.  Periods are numbered in order on a month by month basis.

Search – Enter any information in the search field to begin a search based on information that you define and click the search button.

Print – To print an inventory adjustment click the printer icon. The document options screen will appear.

Edit – To view any of these adjustments in detail double click any one of them or click on the green pencil icon next to the adjustment.

Delete – To delete an inventory adjustment click the recycle bin to the left of any Inventory Adjustment.

To sort the Inventory Adjustments by any of the criteria listed above (Post Date, Reference, Description, etc.) click the title header and the manager will sort by the selected criteria.  You can also click the double arrows to the right of the Inventory Adjustment Manager/Inventory Adjustment to collapse or extend the respective accordions.

Security 

Security clearance can be defined in Roles under the My Business section of Bizuno.

How to Use

Use the Manager to quickly find previous Inventory Adjustments. There is a great deal of important information that can be gathered simply by searching for the adjustment and viewing it in the Manager. Reference numbers, dates and descriptions can be viewed simply by finding the desired adjustment in the manager. To view the adjustment in more detail double click it or click the green pencil icon to the left of the manager.

To quickly locate the desired adjustment enter any defining characteristic such as a date or reference number in the search field and click the search button.  Locating an adjustment quickly and easily will making the search for information more efficient allowing you to answer inquires effectively.

Learning how to sort information properly would be beneficial as well.  For instance, if you wanted to find how many times you had adjusted a certain part in one month you would locate the time frame using the period drop down and then enter the part number in the search field and press the search button.  The results from this inquiry would show you how many times you had adjusted inventory for that part number just in that month.

Creating a New Inventory Adjustment

Inventory shortages can occur form many ways. Pilferage, damage, loss are a few. The stock counts within Bizuno will need to be adjusted to match the actual stock on hand. 

  1. From the main menu, select Inventory->Adjustments.
  2. Enter the SKU or a search criteria and press the open icon  . 
  3. Select the SKU to adjust from the popup menu to fill in the item attributes (or if there is only one match, the popup window will close and fill in the necessary information).
  4. Enter a reference for this transaction (i.e. ADJ2007-05-12).
  5. Enter the post date of the adjustment or use the popup calendar to select a post date. Today’s date is loaded by default. 
  6. Select the GL account popup icon  and select the account to apply the adjustment. 
  7. Enter the total cost of the adjustment. This value only applies to increases in inventory. For inventory decreases, the cost field is ignored and the cost is calculated by Bizuno using the items cost method and historical purchase prices.
  8. Enter the adjustment quantity.
  9. Enter a reason for adjustment. (i.e. damaged, expired, etc.) 
  10. Press Save to post the transaction to the journal.

Editing an Inventory Adjustment

  1. To edit an Inventory Adjustment locate it in the Manager. 
  2. Double click the Adjustment you wish to edit of click the green pencil icon to the left of it. 
  3. The Manager accordion will collapse and the Inventory Adjustment accordion will open. 
  4. Edit the information you wish to change. 
  5. Click the Save button near the top of the screen.

Deleting an Inventory Adjustment

  1. To delete an Inventory Adjustment record locate it in the Manager. 
  2. Click the trash can icon to the left of the record.
